The workshop fills up without going through the front desk.

Services, brakes, cam belts, diagnostics: very different jobs, two ramps, and a phone that rings while everyone is under a car. Here's how the diary takes care of it.

01

Each job takes a ramp for its time

A workshop isn't planned in appointments but in ramp time: two ramps, a mechanic and a half, vehicles that sometimes stay all day. A slot set too short blocks the ramp and leaves the next customer waiting at the desk.

Each job is set up with its duration, its ramp and any time the vehicle is off the road. The customer picks a job and a slot that genuinely exists, and can see whether the car needs dropping off the night before.

  • Time and ramp per job, days off the road included
  • Night-before drop-off offered when the job is long
  • Cars per day capped at what the workshop can take
02

Morning calls taken off the ramp

Between 8 and 10 it all lands at once: customers dropping off, customers ringing, suppliers. That's when the most calls are missed, and they're often service bookings.

The AI receptionist takes the vehicle, the mileage and the symptom, and offers a slot. It also knows how to pass on what it doesn't handle — assessments, bodywork — and leave you a summary to call back on.

A real example

Nine calls on a Monday morning, seven handled by the AI receptionist: five appointments booked, two call-backs noted with the registration and the symptom.

03

Extra work approved in writing

You strip it down, you find a suspension bush that's had it, and it's another €250. On the phone the customer hears “it's going to cost more” and digs in, especially when they can't see anything.

You send the extra quote from the workshop with a photo of the part. The customer approves it from their phone, and the approval is dated and kept. The argument at handover disappears.

  • Extra quote sent with photos
  • Approval dated and kept
  • Balance payable online before collection
04

The history that brings them back

A driver changes garage for no particular reason: they simply forgot where they went last year. Nobody reminded them, and they typed “garage” into their phone again.

Traxo keeps the history per vehicle and sends the reminder at the right mileage or the right date: service, MOT, seasonal tyres, air conditioning. The review request goes out at collection, when everything has gone well.

“The extra quotes go out with a photo. Nobody argues at collection any more.”

Common questions

You set the number of vehicles a day and per ramp. Below that cap the slots are real; above it, nothing can be booked.
